Green Planify
Making every event seamless, sustainable,
and memorable.
Overview
Format: Conference programme over five days
Scale: 250 delegates, 10 external speakers, 40 funded delegates from 25+ countries
Scope: Travel documentation and timelines, visa support coordination, funding and budget tracking, flights, ground transport and hotels, plus city guidance and attendee support
Why it mattered
The event relied on funded participation, with delegates and speakers travelling internationally. Delivery risk was high: visa delays, missed travel connections, budget overruns, and inclusion or accessibility gaps could have reduced attendance, impacted stakeholder confidence, and disrupted programme outcomes. The priority was predictable coordination, clear documentation, and an inclusive experience across nationalities and genders.
Methodology
Compliance-first planning with a single source of truth for travel documentation, structured timelines, and stakeholder communications. Inclusion requirements were captured early and embedded into travel, accommodation, and on-site planning. Budget controls were applied through approval workflows and documented spend tracking.
Delivery process
-
Requirements capture: funded delegate criteria, inclusion needs, travel constraints, deadlines
-
Travel documentation pack: timelines, required documents, approvals, point-of-contact list
-
Visa support coordination: guidance, document collection, appointment timelines, escalation plan
-
Funding and budget management: eligibility checks, booking approvals, spend tracking
-
Travel and accommodation logistics: flights, hotels, ground transport, arrival and departure tracking
-
City guide and attendee support: local guidance, safety info, accessibility notes, helpdesk approach
Outcomes
-
Reduced last-minute changes through early documentation and deadlines
-
Improved attendance reliability through visa and travel tracking
-
Clear audit trail for funded spend and approvals
-
Stronger delegate experience through coordinated arrivals, transport and city guidance
-
More consistent inclusion delivery through early requirements capture and standardised communications
Lessons learned
Visa timelines and a single owner for travel documentation prevent most delivery risk. Inclusion improves when requirements are captured at application stage, not after bookings.
